BOARD ROLES AND RESPONSIBILITIES

All Board Members Shall… 

  • Aim to embody the Prophetic character as well as the MSAW constitution.
  • Be humble and serve as an inspirational example to the Members of MSAW and the greater community.
  • Ensure that the organization continues to strive towards its aims and purposes.
  • Attend MSA West events including the Annual Conference, Leadership Summit, and Tajdeed Retreat.
  • Attend all MSA West executive board retreats.

 

President

  • The President shall progressively look forward in terms of securing the vision and consistency of the organization.
  • The President shall create board agendas in order to lead meetings effectively.
  • The President shall create a master timeline of phases, milestones, and major deadlines for MSA West events.
  • The President shall stay in regular communication with the Vice President about MSA West operations.
  • The President shall hold individual check-ins with the elected Board of Directors and staff member(s) if and when hired.
  • The President shall develop and maintain relationships with external community organizations that furthers the mission of MSAW.
  • The President shall oversee operations of the board and the entire organization so that it follows the mission statement in coordination with the Vice President.
  • The President shall serve as a motivation to all individuals involved within the organization in order to enhance efficiency of all operations.
  • The President shall organize all executive board retreats at least quarterly.
  • The President shall ensure quarterly peer evaluations of the entire Board of Directors.
  • The President shall sit on the Board of Trustees and provide a report of MSA’s activities every six months to the BOT.
  • The outgoing President shall ensure to the proper transitioning the incoming President.

 

Vice President

  • The Vice President shall overlook the development of building MSA resources to foster their growth.
  • The Vice President shall oversee operations of board and the entire organization so that it follows the mission statement in coordination with the President.
  • The Vice President shall coordinate advocacy efforts in partnership with other organizations.
  • The Vice President shall coordinate meetings with University administrators as needed.
  • The Vice President shall serve as interim President in the absence of the President.
  • The Vice President shall assume full responsibilities of the President in the case of an absence or dismissal from the organization.
  • The Vice President shall serve as the BOD liaison for the Servant Leaders Summit steering committee, and ensure the appointment of a new Summit Chair by January of their term and that they have been properly transitioned by previously involved summit members.
  • The outgoing Vice President shall ensure to properly transition the incoming Vice President.

 

Secretary

  • The Secretary shall organize all MSA West executive board retreats, including the transitioning retreat
  • The Secretary shall ensure that the organization is following the constitution, and is responsible to keep it maintained
  • The Secretary shall ensure the proper documentation of all operations, planning, and archives
  • The Secretary shall work to ensure the proper team building and tarbiyah of board members
  • The Secretary shall manage and monitor goal checklists, as well as analyze productivity
  • The Secretary shall ensure the appointment of the Tajdeed Retreat Chair, the Conference Chair, and the Elections Chair
  • The Secretary shall moderate all the various MSA West Google groups, the official MSA West account, and listserv
  • The Secretary shall assess any feedback submitted by MSA West delegates or executive board for internal advancement
  • The Secretary shall manage all speaker request submissions
  • The Secretary shall ensure that the weekly MSA West board meetings are being conducted in a proper manner; to this effect, he or she will be responsible for creating weekly update emails, sending out video call invites in a punctual fashion, managing khatira rotation, as well as taking and circulating board meeting minutes
  • The Secretary shall review action items of each board member and ensure the respective board members are made aware
  • The Secretary shall serve a one-year advisory term upon completion of the position

 

Treasurer

  • The Treasurer shall maintain proper documentation and record-keeping of all finances.
  • The Treasurer shall create an annual budget; including but not limited to the Conference, Tajdeed Retreat, and Servant-Leaders Summit.
  • The Treasurer shall approve all purchases, including but not limited to, flights for speakers, materials and supplies for the Servant-Leaders Summit, Tajdeed Retreat, Conference, and Alumni Dinner.
  • The Treasurer shall sit on the steering committee for major events throughout the year, including Servant-Leaders Summit, Tajdeed Retreat and Conference as the finance head and manage a fundraising committee.
  • The Treasurer shall ensure proper fundraising for all MSA West events.
  • The Treasurer shall manage all sponsors at events.
  • The Treasurer shall approve all prices for events and financial aid plans.
  • The Treasurer shall sustain relations with event sponsors and annual donors.
  • The Treasurer shall manage allocations of all MSA awards, scholarships, and mini-grants.
  • The Treasurer shall be the official point person for bank and manage all financial accounts.
  • The Treasurer shall have access to the bank accounts along with the President.
  • The outgoing Treasurer shall ensure the proper transition of the incoming Treasurer.

 

Regional Directors

  • The Regional Directors shall represent affiliated campuses in their region on MSA West Board.
  • The Regional Directors shall hold delegates accountable to their roles and responsibilities.
  • The Regional Directors shall gather all ‘Affiliation Forms’ from delegates by July 1st.
  • The Regional Directors shall coordinate monthly delegate meetings; coordinate meetings at the Servant-Leaders Summit, Conference, and the Elections Meeting.
  • The Regional Directors shall foster and maintain consistent communication with and support towards delegates.
  • The Regional Directors shall build a relationship with individual MSAs and ensure MSAW is assisting them to our capacity.
  • The Regional Directors shall conduct MSA surveys to assess productivity levels, strengths and weaknesses of MSAs.
  • The Regional Directors shall build a strong network between MSAs in their respective region. build relationships with regional MSAs on the ground.
  • The Regional Directors shall make MSA west resources available for affiliated campuses.
  • The Regional Directors shall lead one of the MSA West standing committees based on their skill sets and interests.
  • The Regional Directors shall develop vision for the committee system.
  • The Regional Directors shall coordinate MSA West events in their respective regions.
  • The Regional Directors shall sustain an active role with external community organizations that further the mission of MSAW.
  • The outgoing Regional Directors shall ensure the proper transition of the incoming Regional Directors.

Director of Public Relations

  • The Director of Public Relations shall manage social media accounts by posting the latest MSA West events and happenings.
  • The Director of Public Relations shall release monthly newsletters and actively enhance subscriptions.
  • The Director of Public Relations shall create and circulate press releases or public statements.
  • The Director of Public Relations shall be the media relations point person; communicate with newspapers, news magazines, radio stations, etc.
  • The Director of Public Relations shall actively market MSA West in order to engage communities.
  • The Director of Public Relations shall oversee all outgoing design products; including but not limited to flyers, promotional videos, graphics, posters, ads, program booklet, nametags, etc.
  • The Director of Public Relations shall sit on the steering committee for major events throughout the year, including Servant Leaders Summit, Tajdeed Retreat and Conference as the marketing head and manage a marketing committee.
  • The Director of Public Relations shall oversee the Web Development Team.
  • The Director of Public Relations shall moderate the various MSA West Google groups and the official MSA West account and listserv.
  • The Director of Public Relations shall do the following at MSAW events:
    1. Manage the photography committee; ensure all photos and video recordings are archived and posted.
    2. Produce the final photo slideshows.
    3. Gather testimonials and all survey results from attendees.
  • The outgoing Director of Public Relations shall ensure the proper transition of the incoming Director of Public Relations.

 

Webmaster

  • The Webmaster shall manage and work on improving the website
  • The Webmaster shall implement a unified design philosophy across all the organization’s media platforms
  • The Webmaster shall ensure transition all of board into their respective @msawest.org emails
  • The Webmaster shall create event registration forms and post them onto the website
  • The Webmaster shall ensure that mass personalized emails are sent to the respective registrants of an event in a timely fashion
  • The Webmaster shall expand and add on to the flyers and manage resources
  • The Webmaster must attend at least every other board meeting, but is a non-voting member

Skills

Required:

Knowledge of programming languages, operating systems and internet applications, as well as CSS, HTML, WordPress!

Optional: Photoshop, Illustrator, Javascript

 

Conference Chair
  • The Conference Chair shall appoint the Logistics & Programming Head.
  • The Conference Chair shall prepare agendas for weekly steering committee meetings.
  • The Conference Chair shall create a master timeline of phases and major deadlines for event.
  • The Conference Chair shall understand and finalize event theme, based on the needs of the community.
  • The Conference Chair shall ensure the proper documentation of all planning and preparation.
  • The Conference Chair shall overlook the progress of programming, logistics, fundraising, marketing, and transportation to ensure that steering committee is fulfilling their responsibilities and goals.
  • The Conference Chair shall schedule individual based check-ins with President and Vice President.
  • The Conference Chair shall remain in communication with campus administration.
  • The outgoing Conference Chair shall ensure the proper transition of the incoming Conference Chair.

 

Tajdeed Retreat Chair

  • The Tajdeed Retreat Chair shall appoint the Logistics & Programming Head.
  • The Tajdeed Retreat Chair shall prepare agenda for weekly steering committee meetings.
  • The Tajdeed Retreat Chair shall create a master timeline of phases and major deadlines for event.
  • The Tajdeed Retreat Chair shall ensure proper insurance paperwork and reservation of date with campsite.
  • The Tajdeed Retreat Chair shall understand and finalize event theme based on the needs of the community.
  • The Tajdeed Retreat Chair shall ensure the proper documentation of all planning and preparation.
  • The Tajdeed Retreat Chair shall overlook the progress of programming, logistics, fundraising, marketing, and transportation to ensure that steering committee is fulfilling their responsibilities and goals.
  • The Tajdeed Retreat Chair shall schedule individual based check-ins with President and Vice President.
  • The outgoing Tajdeed Retreat Chair shall ensure the proper transition of the incoming Tajdeed Retreat Chair.
  • Once the Retreat ends, the Tajdeed Retreat Chair is expected to take on the role of a Program Manager.
