BOARD ROLES AND RESPONSIBILITIES

President

  • The President shall look progressively forward in terms of advancing the vision of the organization
  • The President shall create board agendas in order to lead meetings effectively.
  • The President shall create a master timeline of phases, milestones, and major deadlines for MSA West events
  • The President shall address the attendees at the Annual Conference, the Servant-Leadership Summit, Muslim Day at the Capitol, and Tajdeed Retreat
  • The President shall serve as the Amir/a for Tajdeed Camp, if necessary
  • The President shall hold individual check-ins with the elected board of directors, ex-officio board members, and staff members
  • The President shall maintain active relations with the Board of Advisors, Alumni Association, MSA National, and Shura Council of Southern California
  • The President shall oversee execution of the board and the entire organization, so that it follows the mission statement
  • The President shall serve as a motivation to all individuals involved within the organization, in order to enhance efficiency of all operations
 

Vice President

  • The Vice President shall overlook the development of MSA resources, so as to foster their growth
  • The Vice President shall serve as the liaison between board and the Servant-Leadership Summit steering committee, as well as assume the position of chairperson of the SLS committee for the following year, so as to ensure the summit’s proper execution
  • The Vice President shall serve as the official point person representing MSA West for Muslim Day at the Capitol
  • The Vice President shall coordinate all logistics and planning with the relevant CAIR-CA representatives
  • The Vice President shall coordinate advocacy efforts between the collective University of California’s MSAs and the University of California’s Office of the President, as the need arises
  • The Vice President shall be responsible for coordinating the logistics of the Annual Alumni Reunion
  • The Vice President shall head the Social Justice Committee — a committee tasked with the purpose of uniting and amplifying the voices of Muslim students on issues of societal importance, in a fashion that is in line with the mission and vision of MSA West
 

Secretary

  • The Secretary shall organize all MSA West executive board retreats, including the transitioning retreat
  • The Secretary shall ensure that the organization is following the constitution, and is responsible to keep it maintained
  • The Secretary shall ensure the proper documentation of all operations, planning, and archives
  • The Secretary shall work to ensure the proper team building and tarbiyah of board members
  • The Secretary shall manage and monitor goal checklists, as well as analyze productivity
  • The Secretary shall ensure the appointment of the Tajdeed Retreat Chair, the Conference Chair, and the Elections Chair
  • The Secretary shall moderate all the various MSA West Google groups, the official MSA West account, and listserv
  • The Secretary shall assess any feedback submitted by MSA West delegates or executive board for internal advancement
  • The Secretary shall manage all speaker request submissions
  • The Secretary shall ensure that the weekly MSA West board meetings are being conducted in a proper manner; to this effect, he or she will be responsible for creating weekly update emails, sending out video call invites in a punctual fashion, managing khatira rotation, as well as taking and circulating board meeting minutes
  • The Secretary shall review action items of each board member and ensure the respective board members are made aware
  • The Secretary shall serve a one-year advisory term upon completion of the position 

 

Treasurer

  • The Treasurer shall maintain the proper documentation and record-keeping of all finances
  • The Treasurer shall create all annual budgets; including, but not limited to, the Servant-Leadership Summit, Tajdeed Retreat, and Conference budgets
  • The Treasurer shall manage allocations of any MSA West financial awards, scholarships, or mini-grants
  • The Treasurer shall purchase proper the flight itinerary for all speakers
  • The Treasurer shall submit the proper paperwork to ensure that the organization maintains its non-profit status
  • The Treasurer shall serve as the official point person for Wells Fargo bank account, and will manage all other financial accounts
  • The Treasurer shall sit on the steering committee for major events throughout the year, including the Servant-Leadership Summit, Tajdeed Retreat, and Conference, as the finance head and will manage a fundraising committee
  • The Treasurer shall serve as the point person for the Leaders of Tomorrow Campaign
  • The Treasurer shall sustain relationships with event sponsors, as well as annual donors
  • The Treasurer shall be the point-person to contact and manage all the sponsors at any event
  • The Treasurer shall ensure proper fundraising for all MSA West events

 

Regional Directors

  • The Regional Directors shall hold delegates accountable to their roles and responsibilities
  • The Regional Directors shall gather all ‘Affiliation Forms’ from delegates by July 1st
  • The Regional Directors shall coordinate monthly delegate meetings, as well as coordinate in-person delegate meetings at the Servant-Leadership Summit, the Conference, and the Elections
  • The Regional Directors shall schedule individual check-ins with all delegates
  • The Regional Directors shall conduct at least three MSA surveys: the first to assess the productivity level of the MSAs and their respective region; the second to explore the weaknesses of an MSA; and the third to gather data about the impacts MSAs have made
  • The Regional Directors shall coordinate MSA graduation packages and handle that material
  • The Regional Directors shall attend major events of individual, affiliated MSAs
  • The Regional Directors shall each coordinate one regional and conference advocacy project
  • The Regional Directors shall be responsible for coordinating the Muslim Day at the Capitol project 

 

Webmaster

  • The Webmaster shall manage and work on improving the website
  • The Webmaster shall implement a unified design philosophy across all the organization’s media platforms
  • The Webmaster shall ensure transition all of board into their respective @msawest.org emails
  • The Webmaster shall create event registration forms and post them onto the website
  • The Webmaster shall ensure that mass personalized emails are sent to the respective registrants of an event in a timely fashion
  • The Webmaster shall expand and add on to the flyers and speakers databases

Skills

Required:

Knowledge of programming languages, operating systems and internet applications, as well as CSS, HTML, WordPress!

Optional: Photoshop, Illustrator, Javascript 

 

Conference Chair
  • The Conference Chair shall appoint the Logistics & Programming Head for Conference
  • The Conference Chair shall be responsible for preparing the agenda for the weekly steering committee meetings
  • The Conference Chair shall create a master timeline of phases and major deadlines for Conference
  • The Conference Chair shall be the point person responsible for maintaining communication with the Global Deaf Muslims organization (ASL interpreters)
  • The Conference Chair shall choose and finalize a relevant Conference theme
  • The Conference Chair shall ensure the proper documentation of all Conference planning and preparation
  • The Conference Chair shall overlook the progress of programming, logistics, fundraising, marketing, and transportation to ensure that the steering committee is fulfilling their responsibilities and goals
  • The Conference Chair shall schedule individual check-ins with elected and ex-officio board members, as they see fit
  • The Conference Chair shall draft up the mass personalized emails for Conference registrants
  • The Conference Chair shall provide all official Conference announcements on stage

 

Tajdeed Retreat Chair

  • The Tajdeed Retreat Chair shall appoint the Logistics & Programming Head
  • The Tajdeed Retreat Chair shall prepare the agenda for weekly steering committee meetings
  • The Tajdeed Retreat Chair shall create a master timeline of phases and major deadlines for Tajdeed Retreat
  • The Tajdeed Retreat Chair shall ensure proper insurance paperwork and reservation of date with the respective venue
  • The Tajdeed Retreat Chair shall choose and finalize a relevant event theme for Tajdeed Retreat
  • The Tajdeed Retreat Chair shall ensure the proper documentation of all planning and preparation for Tajdeed Retreat
  • The Tajdeed Retreat Chair shall overlook the progress of programming, logistics, fundraising, marketing, and transportation to ensure that the steering committee is fulfilling their responsibilities and goals
  • The Tajdeed Retreat Chair shall schedule individual based check-ins with elected and ex-officio board members, as they see fit
  • The Tajdeed Retreat Chair shall draft up the mass personalized emails for Tajdeed Retreat registrants
  • The Tajdeed Retreat Chair shall serve as the Camp Amir (or Amira) and be responsible for appointing another camp Amir (or Amira) to overlook cabin leaders, as well as give any necessary announcements
